Taking bookings for this month's meetings

Board-ready minutes, back within 24 hours

Record your trustee meeting on any phone. Email us the file. Get compliant draft minutes in your charity's own template the next working day — decisions logged, actions listed with owners and dates.

£19 per meeting · pay only after you approve them

No account. No software. No card details up front. Just email.

How it works

Built for volunteer boards: if you can send an email, you can use this.

1

Record the meeting

A phone in the middle of the table works fine — so does a Zoom or Teams recording. We'll send you a one-page guide to getting good audio.

2

Email us the file

Reply to our email with the recording attached (or a link). Add your agenda or last minutes if you'd like us to match your usual format.

3

Review and approve

Draft minutes arrive by the next working day, in your template: numbered decisions, an action log with owners and dates, ready for your chair to check.

What comes back to you

Not a transcript — proper minutes, in the shape the Charity Commission, your auditor and your next chair will thank you for.

📄

Minutes in your template

Your charity's usual layout — or our Charity Commission–friendly template if you'd like a better one (it's free either way).

Numbered decisions

Every decision captured in exact wording and numbered for the record, so "what did we agree?" never happens again.

📋

An action log

Who, what, by when — as a rolling log you can drop straight into your next agenda.

🔎

A human check

AI does the heavy lifting; a person reviews every set before it reaches you. Names spelled right, nonsense caught.

Two ways to work with us

Start pay-as-you-go. Upgrade when you want the whole secretary job off the board's plate.

Pay as you go

£19 per meeting

Minutes from your recording, next working day, in your template. Pay after you approve. No commitment at all.

Secretary Support

£49 per month

Every meeting minuted, agenda and board pack prepared beforehand, your compliance deadlines tracked and chased, and unlimited quick governance questions by email.

Like having a charity secretary — without the vacancy. Cancel anytime.

A fair deal, on purpose

This is a small business, not a venture-backed startup. It needs to pay for itself — it will never need to gouge a charity.

  • Our templates are free forever — no email wall, no strings. Good governance shouldn't have a ticket price.
  • Nobody pays per trustee. Charging per person punishes charities for having a full board. One price per board, always.
  • You never pay for minutes you're not happy with. Approve first, pay second.
  • If £19 is genuinely out of reach for your charity, write to us and we'll work something out. We'd rather have you governed well than priced out.

More ways we help

One-off jobs for boards that want to get ahead of the regulator — no subscription needed.

🩺

Policy MOT — £79

Send us your policies. We check them against what UK charities are actually required to have, refresh what's stale, draft what's missing (tailored, not templates), and hand back a review schedule so they never lapse again.

🧭

Governance health check — £99

A short questionnaire and your key documents in; a plain-English report out — scored against the Charity Governance Code, with the three fixes that matter most and a plan for the rest. Repeat it yearly.

Both included free in Secretary Support after your first 3 months.

The confidentiality promise

  • Your recording is deleted permanently after 30 days — sooner if you ask. The approved minutes are yours; we keep nothing.
  • Nothing you send is ever used to train AI models. We use enterprise AI tools with training switched off, under our supervision.
  • Confidential and safeguarding items are handled with care — tell us an item is restricted and we'll minute it in neutral terms, or leave it for you to complete.
  • Plain-English terms, one page long — sent with your first booking so your board can see exactly how it works.

Fair questions, straight answers

Who actually writes the minutes — AI or a person?

Both. AI produces the first draft from your recording; an experienced human reviews and corrects every set before you see it. You (and your chair) always give final approval — the minutes aren't the record until your board says so.

What if the minutes aren't right?

Tell us and we'll revise them the same day. If you're still not happy, you don't pay. We'd rather lose £19 than send a board bad minutes.

Is our recording really secure?

Files are transferred and stored encrypted, processed only to produce your minutes, never used for AI training, and permanently deleted after 30 days (or on request). You'll get our one-page terms before sending anything.

What audio quality do you need?

A modern phone on the table handles a typical boardroom fine. Zoom/Teams cloud recordings are ideal. If a section is inaudible we'll mark it clearly rather than guess.

How can it be this affordable — what's the catch?

No catch: AI does the heavy drafting, one person quality-checks it, and our costs are tiny — so the price can be too. This is a deliberately small, fair business. The only thing £19 doesn't buy is unlimited scope: one meeting, one set of minutes, revisions until they're right.

Can you do our AGM / committee / sub-group meetings too?

Yes — same price, same turnaround. Longer meetings (over 2.5 hours) count as two.

We'd rather do minutes ourselves — can you still help?

Of course: our free minutes template and writing guide are in the resources library, no strings attached.

Your next meeting could be the last one you minute by hand

Send your email address and we'll reply with everything you need for your first meeting — usually within a few hours, evenings included. We know when boards meet.
